Productivity system

in about 1 hour

Your productivity system should help you be more productive, stay focused and not waste time.

My main default was to take task X and spend T time on it. The question lies in what makes up that T time:

T = x + z

Where

  • x is the time needed to complete task X, to mark it as done.
  • z is the extra time spent trying to make it “perfect”.

When we have n tasks per day and we want to be more productive, we should focus on x because it directly affects the completion of the task. The productivity of the day will be marked by:

x₁ + x₂ + x₃ + x₄ + ... + xn

While the time spent perfecting the tasks is:

z₁ + z₂ + z₃ + z₄ + ... + zn

However, xn < zn because it is always going to take us more time to do something in a “perfect” way than to just do it. We end up spending more time over-optimizing.

Task completion process:

  1. Create a list of tasks you want to get done.
  2. Highlight the most important tasks.
  3. Create tasks and assign pomodoros. Will it take 1, 2 pomodoros? We should aim for 1-2 pomodoros maximum per task. If it is more, we should split it into smaller tasks. This way, we keep the tasks specific and manageable.
